The quality of these features depends on source data, permissions and review. If product documentation is outdated, AI will not make it current. If customer-specific data is not permissioned correctly, AI can create exposure risk.
Build versus buy
Some companies should use standard portal or commerce platforms. Others need custom software or integration layers around existing systems.
A practical build-versus-buy decision should consider:
- how standard the customer workflow is;
- how complex product and customer data are;
- whether existing platforms expose useful APIs;
- how much customer-specific logic is needed;
- whether the portal must support internal teams as well as external users;
- how important long-term maintainability is;
- whether the business needs a focused internal platform before exposing functionality to customers.
The right answer is rarely “build everything” or “buy everything”. Often, the strongest solution combines existing systems, a custom integration layer and focused portal features.
Start with the back end
A portal project should begin by mapping the information and workflows customers need:
- What should customers be able to do themselves?
- Which data is needed for that experience?
- Which system owns each data source?
- How current and reliable is that data?
- What permissions are required?
- Which internal workflows must change?
- What should happen when self-service fails?
- Who maintains content, integrations and support flows after launch?
This helps avoid building a front-end that exposes back-end weakness.

A B2B customer portal fails when it is treated as a website with login. It succeeds when it is treated as business-critical software: connected to systems, designed around workflows, secured with clear permissions and maintained over time.
The portal is the visible layer. The back end decides whether it works.
